Privacy Policy (Kyoto-iCAP Employment Placement Business)

Kyoto University Innovation Capital Corporation ("Kyoto-iCAP") (hereinafter referred to as "Kyoto iCAP") has established the following privacy policy regarding the job placement business conducted by Kyoto-iCAP (hereinafter referred to as "the Service"). The following privacy policy has been established with respect to the job placement business conducted by Kyoto-iCAP (hereinafter referred to as the "Service"). The Service is provided to the companies, affiliated companies, organizations, etc. using the Service (hereinafter referred to as "User Companies, etc.") and users of the Service (hereinafter referred to as "Users"). Kyoto-iCAP will handle the personal information of Users (hereinafter referred to as "Users") in accordance with this Privacy Policy, paying close attention to the management of such personal information. In addition, Kyoto-iCAP may establish a separate privacy policy for the handling of personal information of applicants to Kyoto-iCAP and employees and directors in connection with the handling of personal information in individual businesses (investment businesses, etc.) other than this Service operated by Kyoto-iCAP. In such cases, personal information shall be handled in accordance with the relevant privacy policy.

Compliance with Laws and Regulations

Kyoto-iCAP is committed to the realization of the protection of personal information, and is therefore committed to the protection of personal information in accordance with the Act on the Protection of Personal Information (Act No. 57 of 2003, hereinafter referred to as the "Personal Information Protection Act"). The Kyoto-iCAP complies with the Act on the Protection of Personal Information (Act No. 57 of 2003, hereinafter referred to as the "Personal Information Protection Act"), government guidelines, and other relevant laws and regulations to realize the protection of personal information. Kyoto-iCAP complies with the Act on the Protection of Personal Information (Act No. 57 of 2003), guidelines of various ministries and agencies, and other related laws and regulations. In addition, the definitions of terms used in this Privacy Policy shall be in accordance with the Personal Information Protection Law.

Handling of Personal Information

Kyoto-iCAP will establish a management system for the protection of personal information in accordance with the actual conditions of business operations, and will handle acquired personal information appropriately and carefully in accordance with internal rules and regulations.

Acquisition of Personal Information

Kyoto-iCAP acquires personal information through legal and fair means.

Purpose of Use of Personal Information

Kyoto-iCAP will use the personal information it has acquired within the scope of the following purposes of use or purposes that are clear from the circumstances of acquisition, and will not use it for any other purposes except with the consent of the person in question or as permitted by law.

 

  • Confirmation of the user's identity
  • Job placement, provision of information related to employment and career change, and provision of related services
  • Provision of personal information to companies using this service based on the user's application and consent
  • To confirm the status after employment or job change, and to listen to opinions, requests, etc. for the purpose of improving and enhancing this service and developing new services.
  • Confirmation with and receipt of notices from employers regarding applications, hiring, etc. during the provision of this service or after the termination of this service.
  • Processing, statistics and analysis of information for publication on websites and various other media, etc.
  • Advice and suggestions for recruiting companies to develop a human resource recruitment plan
  • Responding to inquiries, consultations and complaints, and resolving disputes
  • Fraud countermeasures necessary for the safe operation of this service, such as investigations related to applications, transfer of rights and obligations, registration of false information, fraud, unauthorized access, and other illegal acts prohibited by Kyoto iCAP
  • Contact based on publications, the Internet, and other public information, etc.
  • Provision of information such as e-mail newsletters, direct mail, notices, and advertisements related to this service
  • Publication on websites and other media edited, published and operated by Kyoto-iCAP
    Examples include the following uses
    (Information such as names and addresses will be excluded, and information such as gender, age, and other attributes will be processed into information that cannot be used to identify specific individuals by itself, such as gender and age.   • Development of new services and various surveys, analysis and marketing necessary for new services and this service
    Examples include the following uses
    Conducting surveys and monitoring surveys (including direct contact with respondents to capture the effectiveness of the survey).
    Analysis of attribute information and behavioral history, etc. obtained by Kyoto iCAP in order to understand the user's preferences and the degree to which the user's preferences and the requirements of the companies, etc. using the Service are mutually matched.
    When Kyoto-iCAP consigns analysis work to an advertising-related business, Kyoto-iCAP may add log information related to Internet usage, such as user attribute information, location information, and action history held by the advertising-related business to the personal information held by Kyoto-iCAP, and receive analysis results aggregated into information that cannot identify a specific individual in Kyoto-iCAP by such information alone. Kyoto-iCAP may receive the results of the analysis, which is compiled into information that cannot be used to identify a specific individual in Kyoto-iCAP.
  • Other operations related or incidental to the above
Provision of Personal Data to Third Parties

Kyoto-iCAP will not provide personal data to third parties, except with the consent of the individual or as permitted by law.

Receipt of Personal Information from User Companies, etc.

Kyoto iCAP may confirm facts related to the application, selection, and employment of users with companies and other parties in order to properly operate this service. Users agree to allow companies to provide such information to Kyoto iCAP.

Outsourcing of Personal Information Handling Operations
When Kyoto-iCAP is entrusted with a contract
Kyoto-iCAP may outsource all or part of its personal information handling operations. In such cases, Kyoto-iCAP will exercise necessary and appropriate supervision over the subcontractor.
When Kyoto-iCAP is commissioned
When Kyoto-iCAP is entrusted by a user company, etc. to handle personal information in whole or in part, Kyoto-iCAP will handle the entrusted personal information in order to execute the entrusted business.
Measures for Safety Management

To ensure the accuracy and security of personal data, Kyoto-iCAP will take reasonable measures against risks such as unauthorized access to personal data and leakage, loss, or destruction of personal data.

 

Supervision of employees and contractors
Kyoto iCAP will provide its employees with the necessary education and training to ensure the implementation of security control measures and other appropriate handling of personal data. In the event that Kyoto-iCAP outsources all or part of its handling of personal data, Kyoto-iCAP will select a party that is recognized as handling personal data appropriately, and will properly stipulate in the outsourcing contract security control measures, confidentiality, conditions for re-consignment, and other matters concerning the handling of personal data, and will exercise necessary and appropriate supervision. The Company will implement necessary and appropriate supervision.
Continuous Improvement of the Management System for Personal Information Protection
Kyoto-iCAP will strive to continuously review and improve its management system for personal information protection in order to maintain it in the best possible condition.
Disclosure, Correction, Suspension of Use, etc. of Retained Personal Data

If Kyoto-iCAP receives a request from an individual for disclosure, correction, addition, deletion, suspension of use, elimination, suspension of provision to a third party, notification of the purpose of use, or disclosure of records of provision to a third party of retained personal data held by Kyoto-iCAP in accordance with the Personal Information Protection Law, Kyoto-iCAP will respond appropriately in accordance with the Personal Information Protection Law after confirming the identity of the individual making such a request. Restrictions on acquisition of sensitive personal information

In principle, Kyoto-iCAP will not acquire personal information that includes the following information. However, this does not apply to cases in which the individual provides the information voluntarily.
A. Race, ethnicity, social status, family origin, place of birth, or any other matter that may cause social discrimination
B. Matters concerning ideology and beliefs
C. Matters concerning membership in labor unions
